BEYOND THE CRIME 2025 EXHIBITOR TERMS & CONDITIONS
Please read these terms and conditions carefully as they contain information you must know and agree to accept and follow. All Attendee Terms & Conditions are hereby incorporated into these Exhibitor Terms & Conditions.
ERREZ Entertainment (“ERREZ”) is proud to produce BEYOND THE CRIME Convention (“Event”). The following Terms and Conditions (“Terms”) apply to all exhibitors as well as any party you are bringing to the Event as part of your exhibition (“Exhibitor”). By reserving a spot in the Expo Hall/Creator Row you agree to and accept these Terms.
1. EXPOSITION SPONSORSHIP & MANAGEMENT:
ERREZ will provide show management and attendance promotion. No exhibits, displays, or demonstrations will be permitted in hotel meeting rooms, suites, guest sleeping rooms, or other locations outside the designated exhibit area unless otherwise approved by ERREZ. Violation of this policy may result in sanctions at future ERREZ events.
2. CONTRACT FOR EXHIBIT SPACE:
The assignment of space, to include podcast row and booth space, and the full payment of rental charge, constitutes a contract or rental of the space assigned. An exhibitor who fails to occupy their designated space is not relieved of the obligation to pay the full rental price. Exhibitors must agree to furnish their exhibits so as not to obstruct the view of other exhibits. No partition other than side dividers provided by ERREZ will be permitted unless specifically approved. Booth signs bearing the name of the exhibitor will be provided at no additional cost, or exhibitors may use their own sign. No signs of any kind may be displayed at a height greater than 8 feet from the floor to the top of the sign. Standard booth background and side rails will be provided without charge.
3. ASSIGNMENT OF SPACE:
Allocations of available space will be made on a first-come, first-served basis. This will be based on the size of the space that the exhibitor has reserved and whether a premium spot was indicated and reserved. ERREZ Entertainment reserves the right to make final space assignments and/or change space assignments after the acceptance of the application should ERREZ believe, in its sole discretion, that it is in the best interest of the event. The dimensions of the rental space are believed to be accurate but only warranted to be approximate. The price of space includes booths of appropriate construction, basic 11x14 signs for each booth, a skirted table(s) and the appropriate number of chairs per package, and adequate lighting of space.
4. PAYMENT OF SPACE:
Contracts must be accompanied by full payment of the booth/space before it can be reserved for the event.
5. CANCELLATION OR WITHDRAWAL:
An Exhibitor may cancel or withdraw from the Event up to sixty (60) days before the start of the Event as long as they provide written notice. However, no refunds will be granted unless all booth space has been sold. If all booth space has been sold then 50 (fifty) percent of the Exhibitor’s payment shall be returned approximately 30 (thirty) days after the event closes. Exhibitors will also have the option to deny the refund and keep their booth space for a future ERREZ Entertainment event. After the sixty (60) day deadline the Event will allow absolutely no refunds or booth deferrals. The date of official cancellation shall be marked as the date in which the notice is received. ERREZ Entertainment has the right to resell the space vacated upon notification of cancellation.
6. OCCUPANCY OF SPACE:
Installation is expected to be from 6:30pm – 10:30pm MDT on Friday, March 14. A second installation time will be offered to exhibitors from 5:00am-7:45am MDT on Saturday, March 15, 2025. The Expo Hall will officially open at approximately 9:00am on Saturday, March 15th, 2025, and will close at approximately 6:00 pm MDT on Saturday, March 15, 2025. Exhibits must be removed by 11:00pm MDT on Saturday March 15, 2025. These times are subject to change and final times will be communicated at least 30 days before the start date.
7. TERMINATION OF EXHIBIT:
If the premises where BEYOND THE CRIME convention is to be housed are destroyed or damaged; or BEYOND THE CRIME convention fails to take place as scheduled; or is relocated or interrupted and discontinued; or access to the premises is prevented or interfered with by reason of any strike, lockout, injunction, act of war, act of God, or emergency declared by any government agency; or for any other reason, this contract may be terminated by BEYOND THE CRIME convention. In the event of such termination, the Exhibitor waives any and all damages and claims for damages and agrees that the sole liability of BEYOND THE CRIME convention shall be to return the Exhibitor's rental payment.
8. EXHIBITOR'S REPRESENTATIVE:
Each Exhibitor organization must name at least one person to be its official representative, with authorization to enter such service contracts necessary for the installation and removal of exhibits, for which the Exhibitor will be responsible. At least one person must be in the Exhibit Booth during 90% all open hours (not including lunches and breaks). If an Exhibit Booth is left unattended during open hours, ERREZ is not responsible for lost or stolen items or damages that could occur.
Exhibitor agrees not to assign or sublet the whole or any portion of the rented space covered by this contract. No two companies of different ownership can share a single booth. Exhibitor must submit the full names & contact information for all personnel receiving Exhibitor Badges no later than 30 days prior to the event. Exhibitors are not permitted to bring anyone into the event or Expo Hall without registering them as exhibitors, during installation and/or tear down of the exhibit.
Each exhibitor agrees to abide by the foregoing rules and regulations, and by any amendments or additions thereto that may be established or put into effect by ERREZ prior/or during the event. These rules are subject to revision by ERREZ and all points not covered are subject to the decision of ERREZ. They have been formulated for the best interest of the exhibitors as well as ERREZ, and all participants in the Exposition are asked to cooperate in the observance of them.
9. SOLICITATION IN THE EXPOSITION:
The aisles and other space in the Expo Hall are not leased to the exhibitors and shall be under the control of ERREZ. All displays, interviews, conferences, distribution of literature, lectures, or any other type of activity shall be conducted inside the space that the exhibitor has contracted from ERREZ. Nothing shall be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Signs, rails, etc. will not be permitted to intrude into or over aisles.
10. EXHIBIT STANDARDS:
ERREZ shall have the right to prohibit any exhibit or part of an exhibit that in its opinion is not suitable to, or in keeping with the character or purpose of the show. Questionable exhibits shall be modified at the request of ERREZ. ERREZ reserves the right to interpret and remove from the show program materials, advertising, or literature any Exhibitor or Exhibitor materials which ERREZ believes, in its sole discretion, would be in bad taste and detrimental to the event.
11. MERCHANDISE:
ERREZ maintains exclusive right to sell apparel and accessories at the on-site BEYOND THE CRIME Merchandise Store. Vendors specializing in one specific product category may be permitted to sell merchandise from their booth. ERREZ will need to approve in advance the designs of any products intended to be sold or given away. Product proofs and/or designs must be submitted for review at least 60 days prior to the start of the event. Exhibitors are solely responsible for paying all applicable city, county, state and federal taxes on sales and promotional activities during BEYOND THE CRIME Convention.
12. SOLICITATION BY NON-EXHIBITORS AND NON-REGISTERED ATTENDEES:
Persons connected with non-exhibiting companies are prohibited from any dealings, exhibiting, or soliciting within the Event area.
13. LIABILITY AND INSURANCE:
Exhibitor agrees to protect, save, and hold ERREZ forever harmless from any damages or charges imposed for violation of any law or ordinance, by the negligence of the Exhibitor regarding the Exposition premises. Further, Exhibitor shall also hold harmless ERREZ as well as its subsidiaries, parents, sponsors, subcontractors and vendors hired specific to the production of the Event from and against any and all loss, cost damage, liability, or expense arising from the Exhibitor’s occupancy and use of the event’s premises. ERREZ will exercise responsible care for the protection of Exhibitor's material and displays. However, the Exhibitor, on signing the contract expressly releases ERREZ, BEYOND THE CRIME, Beyond The Case and the Isleta Resort and Casino, and agrees to indemnify the same against any and all claims for such loss, damage or injury. Exhibitors who would like to carry insurance on their exhibits must do so at their own expense.
ONLY EXHIBITORS PROPERLY IDENTIFIED AND WITH PERMISSION OF SHOW MANAGEMENT MAY ENTER THE EXHIBIT AREA DURING NON-SHOW HOURS. EXHIBITOR BADGES MUST BE WORN AT ALL TIMES WHILE IN THE EVENT SPACE.
14. SAFETY:
Fire regulations require all display material used for decoration be fireproof. All electrical equipment, including signs and lights, shall be in good condition and able to pass inspection of the Fire Marshal. Each exhibitor agrees to be knowledgeable and responsible regarding ordinances and regulations pertaining to health, fire prevention, and public safety while participating in BEYOND THE CRIME. The use of flammable materials, substances or fluids of any nature, which are prohibited by fire regulations, may not be used in any booth.
Exhibitors are fully responsible for any loss, damage, or injury to facility owners or personnel resulting from exhibitors’ display or actions. Exhibitors are also fully responsible for any loss, damage or injury to BEYOND THE CRIME attendees resulting from the exhibitor's display or actions. Exhibitors shall defend and hold harmless ERREZ Entertainment against any and all claims or suits for loss or damage.
ERREZ Entertainment reserves the right to cancel arrangements or contracts or close an exhibit whenever it deems such action necessary for the safety or comfort of those attending BEYOND THE CRIME. Causes for cancellation or closure may include, but are not limited to exhibits, activities or materials being deemed hazardous, offensive in nature or in violation of applicable laws and facility policies and/or rules and regulations. Any exhibit, activity or materials deemed to have caused injury or damage to the hotel facilities, BEYOND THE CRIME property and/or attendees and their property will be cause for immediate cancellation and closure.
15. SHIPPING:
Exhibitor agrees to ship property to be exhibited, at his/her own risk and expense. Further information will be provided.
16. ELECTRICITY:
Exhibit booths do not include guaranteed access to a power outlet. There could be a charge for any exhibitor electrical hook-ups and/or internet connections through the venue. If an exhibit requires electrical hook-ups please email BEYOND THE CRIME within 60 days of the event, to allow an opportunity for ERREZ to make accommodations. ERREZ will do everything in its power to accommodate this request, upon availability, and determination of if there will be any additional charges.
17. COPYRIGHT PERMISSION & INDEMNIFICATION:
Exhibitor represents and warrants that no work protected by copyright will be staged, produced, or otherwise performed, via either "live" or "mechanical" means at BEYOND THE CRIME, unless exhibitor has previously obtained written permission from copyright owner or the copyright owner's designee for such use.
Exhibitor understands it shall be fully responsible for the performance of all obligations under any agreement permitting the use of such material/music, including but not limited to all obligations to report data and to pay royalty fees.
Use of any product by any exhibitor, employee or agent thereof containing the BEYOND THE CRIME logo or other trademarks owned by ERREZ Entertainment is strictly prohibited without the express written permission of ERREZ Entertainment. Exhibitors agree that if any materials making such unauthorized use appear at BEYOND THE CRIME, ERREZ Entertainment shall have the right to take possession of and destroy all such materials, as well as to pursue other available legal remedies.
18. MISCELLANEOUS REGULATIONS:
Exhibitor shall not conduct outside activities that would take paid attendees from BEYOND THE CRIME functions during scheduled hours.
19. RULES & REGULATIONS:
Any rules and regulations relevant to the hotel facility will be provided upon request to the exhibitor by ERREZ. Any rules specific to the facility will be included and by signing the contract all will agree to adhere.
20. AMENDMENTS TO REGULATIONS:
Any and all matters and questions not specifically covered in this contract are subject to the decision of BEYOND THE CRIME. The aforementioned items covered by this contract may be amended at any time by ERREZ / BEYOND THE CRIME in the interest of the event. This notice is binding on all exhibitors equally.
21. RESPONSIBILITY:
It is the responsibility of the Exhibitor to be familiar with these rules and regulations and to see that each member of their registered group attending the BEYOND THE CRIME Convention, either as exhibitor personnel or attendee or both, is familiar with these rules and regulations.
22. FOOD AND BEVERAGE:
Exhibitors wishing to dispense food or beverages in the exhibit hall will be required to garner permission from ERREZ, who in turn will get confirmation from the catering department at the hotel, on which particular food items are allowed to be distributed and or sold at the event during event hours. Fees and documentation from the local Health Department might apply.
23. RULES OF CONDUCT OR ADMISSION:
ERREZ Entertainment prohibits firearms, ammunition and firearm accessories of any kind to be brought into BEYOND THE CRIME Convention activities and the hotel facilities. ERREZ Entertainment has directed and authorizes the Facility and local law enforcement to implement and enforce such rules.
BEYOND THE CRIME ATTENDEE TERMS & CONDITIONS
The following terms and conditions pertain to all badge holders for the BEYOND THE CRIME Convention event. By purchasing a badge the purchaser is agreeing to the terms. Take note the cancellation policy is described below as well as in our FAQs.
ERREZ Entertainment LLC (“ERREZ”) is proud to produce BEYOND THE CRIME (“Event”), presented by Beyond The Case. The following Registration and Credentials Terms and Conditions (“Terms”) apply to you and any party you are registering for participation in any ERREZ Event (“Participant”), and such Participant’s registration, attendance, participation, enrollment, and/or involvement in the Event, including but not limited to your purchase and/or possession of any ERREZ Event entry material, such as badges, tickets, passes, and giveaways (“Credentials”). By picking up your Credentials you agree to these Terms.
1. Refund Policy. ERREZ may, in its sole discretion, and at any time determined by ERREZ, cancel or refuse from any individual or company the following: event credentials and purchases. ERREZ will not be responsible for any penalty, fee, loss, or expense that might result from such action.
a. No refunds are available under any circumstances. Any and all payments made to ERREZ are not refundable for any reason, including Event postponement, acts of terrorism, public health concerns, terrorism or security-related issues, or other acts of God, or failure to use ERREZ Credentials by Participant for any reason including, but not limited to, to illness, acts of God, travel-related problems, acts of terrorism, public health concerns, loss of employment, and/or duplicate purchase. However, if ERREZ Entertainment chooses to cancel the event in its entirety, participants will be eligible for a full refund, minus fees, ERREZ has up to 90 days after the official date of event cancellation to refund participants for the purchase of their event credentials, to include badges, wrist bands, tickets, passes.
b. Unused Credentials have no monetary value and cannot be credited to future years or events.
c. Lost or stolen Credentials will not be replaced. In the event Credentials are lost or stolen, new Credentials will need to be purchased for a Participant’s continued access to the Events.
d. ERREZ reserves the right to revoke a Credential for any reason in ERREZ’s sole discretion. As noted above, ERREZ will not issue refunds for Credentials that have been revoked.
e. ERREZ reserves the right to change the dates and location of the Event at its sole discretion. All badges will be fully transferable to the new dates and location. Participants unable to attend an Event may request a credit voucher for the full amount paid. Any voucher issued after 03/15/2025 will expire five (5) years after issuance and will have zero value upon expiration. Vouchers are not tied to a specific Participant name and therefore are applicable toward any future equivalent BEYOND THE CRIME event badge but not toward merchandise. A lost voucher cannot be replaced.
2. Credentials may be sold or otherwise transferred privately by a Participant. To facilitate a name change the buyer of the Credential must email info@beyondthecase.com from their registered email address and specifically authorize the transfer of the Credential by including the recipient on the email. All name changes, voucher requests, and other transfer requests must be requested at least 72 hours before the start of the Event. There are absolutely no exceptions to this policy.
3. Credentials are issued to, can be picked up by, and used by only the individual named in the registration. Valid, unexpired, government-issued photo identification is required at the time of pick-up and ERREZ, in its sole discretion, may deny issuance based on lack of identification or identification not matching. ERREZ Credentials are non-transferable after they have been picked up. All ERREZ Credentials are the sole property of ERREZ and can be revoked at any time in ERREZ's sole discretion. ALL PARTICIPANTS MUST BE 18+ BY THE FIRST DAY OF THE CONVENTION. MINORS, FROM THE AGE OF 10+ WILL BE PERMITTED INTO THE EVENT WITH A PARENT OR GUARDIAN WHO SIGNS A WAIVER, EXPLAINING EVENT CONTENT MAY BE DISTURBING TO MINORS, GRANTING PERMISSION AND RELEASING ERREZ FROM ALL LIABILITY AND/OR ASSUMPTION OF RISK TO SAID MINOR.
4. ERREZ badges allow a badge holder to have priority entry, but cannot guarantee admission to all programming at an Event as sessions are filled on a ‘first come, first served’ basis. Event admission is subject to venue capacity and age restrictions in compliance with state and local laws. No person under the age of 18 will be admitted without the advance written approval of ERREZ.
5. Photographs and/or audio/video recordings taken at the Event by ERREZ may include a Participant’s image, name, voice and/or likeness. By attending and/or participating in the Event, each Participant grants ERREZ permission to use the Participant’s photograph, image, likeness, voice and statements for any purpose, including commercial purposes, without compensation or credit to the Participant.
No Participant may broadcast, or communicate any live audio or visual images from the Event without ERREZ's prior written permission.
6. Event Participants are expected to behave responsibly and to treat each other - and the community - with respect, kindness, and compassion. ERREZ strives to provide an environment in which ALL people are treated with dignity and respect and, therefore, will not tolerate discrimination or harassment of any kind. By accepting these terms and conditions all participants agree to abide by ERREZ's Security & Anti-Harassment Policy, which states that ERREZ reserves the right, without refund, to revoke the Credentials of any Participant whose conduct is deemed inappropriate, disorderly, offensive, or otherwise in violation of the ERREZ Privacy & Anti-Harassment policy in the sole judgment of ERREZ, affiliated third parties, venue security, and/or the local authorities. Due to the nature of the EVENT, ERREZ has implemented a dress code against clothing with pictures, signs, logos or words that may be deemed offensive or insensitive to participants of the EVENT. ERREZ reserves the right to revoke the Credential of any Participant not in compliance.\
7. ERREZ is a private Event and has a weapons-free policy. Participants are prohibited from carrying weapons of any kind, including concealed or displayed firearms, no matter what licenses the carrier may be able to provide. Participants are not permitted to bring weapons onto the premises of any official ERREZ events. ERREZ reserves the right, in its sole discretion, without refund, to revoke the Credentials of Participants who violate this weapons-free policy. Participants agree that this policy is in force, and agree to comply, regardless of whether signs prohibiting weapons are posted at any official ERREZ event. ERREZ, has sole discretion, to check any Participant’s bag at any time if it is deemed to be a safety concern. Participants who decline to have their bag checked, upon asking by ERREZ staff, may have their Credential revoked and asked to leave the premises.
8. Each Participant understands that participating in the Events is voluntary and may involve certain risks of physical injury, damage to property, and other damages or losses that may be sustained by a Participant. Each Participant assumes all risk of damages, property loss, and personal injury which may occur by participating in the Events.
9. COVID-19:
a. Participant assumes all risks and hazards related to COVID-19 arising from travel to and attendance at the Event;
b. Participant understands that he/she is solely responsible for their own health and safety while at the Event and agree to follows all policies and procedures mandated by ERREZ and the Host Hotel while in public areas;
c. TO THE FULLEST EXTENT PERMITTED BY LAW, PARTICIPANT KNOWINGLY, VOLUNTARILY AND EXPRESSLY RELEASES ERREZ AND THE HOST HOTEL, AS WELL AS ALL OF THEIR EMPLOYEES AND PERSONAL REPRESENTATIVES AGAINST ANY AND ALL ACTIONS, CAUSES OF ACTION, SUITS, CLAIMS, RIGHTS, DAMAGES, LOSSES, EXPENSES OR DEMANDS OF ANY KIND OR NATURE WHATSOEVER (“CLAIMS”) WHICH PARTICIPANT HAS NOW OR MAY IN THE FUTURE HAVE IN CONNECTION WITH THE EXPOSURE, INFECTION AND/OR SPREAD OF COVID-19 OR ANY OTHER VIRUS OR DISEASE IN WHICH MAY ARISE DUE TO THEIR TRAVEL TO OR FROM THE EVENT, OR THEIR ATTENDANCE AT THE EVENT INCLUDING BUT NOT LIMITED TO, ANY AND ALL CLAIMS FOR ANY BODILY INJURY, INCLUDING DEATH, WHICH SPEAKER MAY SUFFER OR SUSTAIN AS A CONSEQUENCE OF EXPOSURE TO COVID-19 OR OTHER VIRUSES, AND ANY AND ALL SUCH CLAIMS ARE HEREBY UNCONDITIONALLY WAIVED;
10. At times throughout this Event we will be discussing topics that may be disturbing or traumatizing to some participants--including topics related to violence, abuse, rape, and murder. Each Participant affirms that they understand their participation and/or involvement in any activity, session, event, or experience related to the Event carries potential risks, some of which may not be foreseeable, including, but not limited to, bodily injury, emotional distress, or death.
11. ERREZ is committed to making the Event accessible to all participants. If you require accommodations, please contact staff at least sixty (60) days in advance of the Event at info@beyondthecase.com to discuss your needs. We will make reasonable efforts to accommodate your request, subject to availability and feasibility. We strive to ensure that your experience at the Event is as inclusive as possible.
12. IN NO EVENT SHALL ERREZ BE LIABLE TO ANY PARTICIPANTS, OR ENTITY FOR ANY PERSONAL INJURY, PROPERTY DAMAGES, DAMAGES FOR LOSS OF BUSINESS PROFITS OR OTHER PECUNIARY LOSS, INCLUDING ANY DIRECT, CONSEQUENTIAL, INCIDENTAL, SPECIAL, PUNITIVE OR SIMILAR DAMAGES, ARISING OUT OF ANY PARTICIPATION OF THE EVENT.
13. Each Participant agrees to defend, and hold ERREZ and its officers, employees, volunteers, sponsors, exhibitors, guests, and representatives harmless from and against any and all claims, losses, demands and all other liabilities, including, but not limited to, costs and attorneys’ fees, arising out of or in connection with Participant’s attendance of event.
14. In addition, ALL laws under the state of New Mexico must be followed by participants in attendance of EVENT. If any staff, volunteers, directors of ERREZ are witnesses to illegal activity, they will be obligated to contact proper authorities immediately. Participants who are deemed to have been participating, conspiring, or engaging in illegal activity on the premises of the EVENT may have their participation revoked for future ERREZ events.
15. The Terms will be governed by the laws of the State of New Mexico, without regard to its principles of conflicts of laws.
16. ERREZ reserves the right to make changes to the Terms at any time without notice to each Participant, so please return to review the Terms from time to time. In the event that any Term, or provision of the Terms shall be deemed invalid, illegal or unenforceable, such term or provision shall not affect the validity and enforceability of any remaining term or provision.
